Ontario

In Ontario, apostilles are issued by Official Documents Services (ODS), under the Ministry of Public and Business Service Delivery. ODS is the designated authority responsible for authenticating and apostilling documents issued or notarized within the province. Individuals can submit their documents either by mail or online, and notarization may be required depending on the type of document. Ontario's system is efficient and widely used, especially for birth certificates, marriage certificates, educational documents, and notarized affidavits.

British Columbia

In Ontario, apostilles are issued by Official Documents Services (ODS), under the Ministry of Public and Business Service Delivery. ODS is the designated authority responsible for authenticating and apostilling documents issued or notarized within the province. Individuals can submit their documents either by mail or online, and notarization may be required depending on the type of document. Ontario's system is efficient and widely used, especially for birth certificates, marriage certificates, educational documents, and notarized affidavits.

Alberta

In Alberta, the Ministry of Justice is responsible for issuing apostilles for documents issued or notarized in the province. The submission process is completed by mail only; walk-in or in-person submissions are not accepted. The provincial guidelines require that documents be notarized before submission if they are not already public records. Alberta’s apostille process is suitable for both personal and commercial documents.

Quebec

Quebec residents must have their documents authenticated and apostilled through the Ministry of Justice of Quebec. The process applies to documents issued or notarized in Quebec, and notarization is often required depending on the document type. Apostilles from Quebec are accepted internationally, and this service is commonly used for academic records, court documents, and certificates issued by the Directeur de l'état civil.

Saskatchewan

Saskatchewan’s Ministry of Justice and Attorney General handles apostille services for documents originating in the province. Like in other provinces, notarization may be required before submission, especially for private documents. Individuals can send their documents following provincial submission procedures. Apostille from Saskatchewan is commonly requested for educational documents, powers of attorney, and sworn declarations.

Other Provinces and Territories

For provinces and territories that do not currently have a provincial authority to issue apostilles—namely, Manitoba, New Brunswick, Newfoundland and Labrador, Nova Scotia, and Prince Edward Island, as well as the territories of Yukon, Northwest Territories, and Nunavut—the competent authority is Global Affairs Canada (GAC). GAC also handles apostilles for federal documents such as RCMP clearance certificates and federally issued corporate records. Applicants must follow GAC’s authentication procedures, which typically include notarization by a Canadian notary public and submission by mail or courier. Global Affairs Canada continues to serve as the central authority for apostille where no provincial option exists.

ODS in Ontario can issue an apostille for a document issued in another province — as long as the document is issued in Canada (regardless of province), is properly notarized by a Canadian notary public or lawyer, and meets the document type and format requirements set by ODS. This is why, in many cases, clients across Canada—and even abroad—choose to courier their documents to Ontario for apostille processing through ODS.

    Q&A

Can ODS in Ontario issue an Apostille for a document issued in another province?
    Yes — as long as:

    ● The document is issued in Canada (regardless of province), and
    ● It is properly notarized by a Canadian notary public or lawyer, and
    ● It meets the document type and format requirements set by ODS.

This is why, in many cases, clients across Canada (or even abroad) courier their documents to Ontario for apostille processing via ODS.
What is an apostille and why do I need it?
An apostille is an official certificate issued under the Hague Apostille Convention to authenticate the origin of a public document for use in another member country. It's commonly required for documents such as birth certificates, marriage certificates, educational credentials, and powers of attorney when being presented abroad.
Which documents can be apostilled in Canada?
Most public documents issued in Canada can be apostilled, including vital statistics documents (birth, death, marriage), notarized documents (affidavits, powers of attorney), education credentials, police clearance certificates, and corporate documents. Requirements may vary based on the destination country and issuing province.
Can I apostille documents from any province?
Yes. Apostilles can be issued for documents from any province, provided they are properly notarized and meet the authentication requirements. If a province does not have its own apostille authority, the document may be processed through Ontario’s Official Documents Services (ODS) or Global Affairs Canada (GAC).
I live outside Canada. Can I still use your service?
Absolutely. We regularly assist international clients. You can courier your documents to us, and we will handle the apostille or authentication process on your behalf, then return the documents to you by courier.
What if my document is not in English or French?
If your document is in another language, you may need to provide a certified translation (often by an ATIO-certified translator) before it can be apostilled. We offer translation services as part of the process.
Do I need to notarize my document before submitting it for apostille?
Many documents require notarization unless they are already official public records (e.g., birth certificates). We can assist with notarization if needed.
